Terms of Service

1. Service Description

OnboardFlow is a client onboarding automation platform designed for immigration consultants. The service provides intake form management, Google Drive workspace provisioning, document tracking, progress checklists, and automated reminders to streamline the client onboarding process.

2. Subscription Plans

OnboardFlow offers three subscription tiers, billed monthly:

  • Starter ($49/month): Up to 10 active clients, 1 consultant seat, intake forms, Google Drive integration, and email support.
  • Pro ($79/month): Up to 50 active clients, 5 consultant seats, everything in Starter, priority support, and SMS reminders.
  • Agency ($99/month): Unlimited clients, unlimited seats, everything in Pro, dedicated support, and API access.

New accounts include a 14-day free trial. No credit card is charged during the trial period. After the trial, your selected plan is billed monthly unless cancelled.

3. Cancellation Policy

You may cancel your subscription at any time from the Billing page in your dashboard. Upon cancellation:

  • You retain full access until the end of your current billing period.
  • No further charges will be made after cancellation.
  • Your data is retained for 90 days to allow for reactivation.
  • After 90 days, you may request permanent data deletion.

4. Refund Policy

OnboardFlow offers the following refund terms:

  • 14-day trial: Your trial is completely free. No charges are made during the trial period. If you cancel before the trial ends, you will not be charged.
  • Monthly subscriptions: If you are unsatisfied with OnboardFlow, you may request a full refund within 7 days of your first paid charge. Contact support@onboardflow.net to request a refund.
  • After 7 days: No refunds are issued for the current billing period. You may cancel at any time and retain access until the end of your paid period.
  • Upgrades: When you upgrade mid-cycle, the price difference is prorated. No refund is issued for the unused portion of a lower plan.
  • Downgrades: Plan downgrades take effect at the next billing cycle. No partial refunds are issued.

All refund requests are processed within 5-10 business days. Refunds are credited back to the original payment method.

5. Acceptable Use

OnboardFlow is intended for use by licensed immigration consultants and related professionals. You agree to:

  • Use the service only for lawful business purposes related to immigration consulting.
  • Not upload or store content that violates any applicable laws or regulations.
  • Not attempt to gain unauthorized access to other users' data or accounts.
  • Not use the service to send spam or unsolicited communications.
  • Maintain the confidentiality of your account credentials.

6. Data Ownership

You retain full ownership of all client data, documents, and content you create or upload through OnboardFlow. We do not claim any intellectual property rights over your content. Documents created in Google Drive remain in your Google account and are yours to keep, even after cancelling your OnboardFlow subscription.

7. Service Availability

We strive to maintain 99.9% uptime for all OnboardFlow services. However, we do not guarantee uninterrupted access and are not liable for downtime caused by third-party service providers (Google, Stripe, hosting providers), scheduled maintenance, or circumstances beyond our control.

8. Limitation of Liability

To the maximum extent permitted by law, OnboardFlow and its team shall not be liable for any indirect, incidental, special, consequential, or punitive damages, including but not limited to loss of profits, data, or business opportunities, arising from your use of the service. Our total liability for any claim arising from or related to the service shall not exceed the amount you paid for the service in the 12 months preceding the claim.

9. Modifications to Terms

We may update these terms from time to time. When we make material changes, we will notify you via email or through a notice on the dashboard. Your continued use of OnboardFlow after changes take effect constitutes acceptance of the updated terms.
